Reports to the Executive Director

Supervisory role

Location: Offices of Hollywood Theatre, with flexibility to work remote at the discretion of the supervisor.

Summary The Finance Manager/Controller supports the full range of financial duties, as well as transactional HR activities for all Film Action Oregon employees. This role supports outside contractors including accountants and auditors, as well as directly supervises internal support roles in bookkeeping and administration. Film Action Oregon is a 501(c)3 nonprofit organization.

About  Film Action Oregon includes The Hollywood Theatre, a Portland landmark with a national reputation for award-winning film programming, innovative educational programs, and providing fiscal support for local filmmakers. We show classic and contemporary films, host live performances and special guests, and produce innovative film series like Queer Horror, B-Movie Bingo, and Kung Fu Theater – all while preserving our historic landmark theater. Film Action Oregon also runs a microcinema at Portland International Airport, which features short films by local filmmakers, and runs the iconic video store Movie Madness, working to keep its world-class archive of 90,000+ films and TV shows available and accessible to the public.

Essential Responsibilities

Financial 

  • Annual budget creation and oversight.
  • General Accounts Receivables and Accounts Payables
  • Annual audit prep and liaison with auditor
  • Oversight of chart of accounts and overall accounting system
  • Month-end reconciliations, transaction reviews, prep and coordination with accountant
  • General tax duties including annual tax prep, W2, 1099 issues, and some tax payments
  • Manage all types of payments including stop, wire, online direct and other payments
  • Manage merchant services accounts
  • Manage lease agreements for storefront tenants

Payroll and Benefits Administration

  • Full-range payroll processing
  • Tracking Paid Sick Leave and Paid Vacation Time
  • Simple IRA set-up, making employer and employee contributions as required
  • Full range of benefits administration, conducting annual audits, reviewing options with brokers and coordinating yearly renewals
  • Ensure employee enrollment in benefit programs when eligible and during open enrollment periods
  • Coordinate with brokers and providers to provide training and advice for enrollment and contributions into all programs including the company’s Simple IRA

Management

  • Manage and direct the work of the Staff Accountant
  • Manage and direct the work of an Administrative Assistant

  • Training in payroll systems to ensure ability to independently process and run payroll within 60 days, or the 3rd payroll cycle after start date

Qualifications and Requirements

Work Experience:

  • 6+ years experience working in a  accounting, bookkeeping, A/R role
  • Payroll and benefits management experience

Industry Knowledge:

  • Working in non-profit or similar arts organization is strongly preferred
  • CPA a plus
  • Public accounting a plus
  • Serving on a board of directors, or volunteering services in a financial role for a non-profit helpful
  • Interest and knowledge in film helpful

Education:

College degree preferred, formal training in bookkeeping, A/R and accounting strongly preferred, formal training in fundamentals of human resources helpful

Working Conditions & Physical Requirements:   The Finance Manager/Controller works full-time, typically between the office hours of 9:00 a.m. to 5:00 p.m., Monday through Friday. This position can be hybrid remote and in-person in Portland, OR. Work is done in a mostly seated position 6-8+ hours per day working on a computer and talking on the phone.  The company offices are located on the second floor of a building up a long staircase with no other access. This means going up and down stairs periodically during the day as needed. This is largely a sedentary position that requires the employee to sit, stand, walk, and bend, and may include heavy lifting of files, equipment, merchandise, etc.
